Product Updates - (SP089) - 25 March 2025

This article provides an overview of the features/updates the product development team have delivered in the 25th March 2025 release (Sprint SPO89).

 


Whatโ€™s New ๐Ÿš€

Our dedicated team has been working tirelessly to enhance the Rosterfy platform, focusing on user feedback and evolving industry needs. We are excited to introduce a variety of new features designed to improve functionality, streamline processes, and enrich the overall user experience. 

 


Certificates can be Awarded for Shifts

Shifts can now have certificates attached, automatically awarded to users when the shift status updates to Attendedโ€”whether through checkout, admin updates, imports, or automation. 

You can control the certificate to be awarded in the Advanced settings when creating or updating a shift.

Follow these simple instructions to allocate a certificate to a shift:

  1. Navigate to Events > Events.
  2. Locate the relevant event and select View Shifts.
  3. Locate the shift and click More Actions > Update.
  4. Navigate to the Advanced tab, here you will find the Certificate field, all available certificates will be shown in this list.

๐Ÿ’กHow this helps: The ability to attach a certificate to a shift automates the process of awarding certificates to users upon the completion of their shifts, allowing administrators to focus on other important tasks, and helping to increase volunteer engagement.

 


Enhanced Automation Rules Options

Enhancements have been made to the automation task option, Admin Console Request, allowing admins to set rules that determine which users are affected by bulk actions. This functionality ensure bulk actions only apply to relevant users, example of this could be users ages over 18, ability to exclude deactivated users, or only for certain user groups.

These actions include moving users to checkpoints, sending emails, and requesting form submissions.

๐Ÿ’กHow this helps: The increased control over automation processes not only improves accuracy and compliance but also saves valuable time for administrators.

 


Mobile Push Notification Enablement

To enhance transparency regarding the Rosterfy Mobile App adoption, we have introduced a feature that allows administrators to track which users have enabled and actively receiving push notifications.

A new column titled Push Notification Enabled has been added to the User Listing page, facilitating its use in the reporting module.

To add the column to your User Listing view, follow these simple steps:

  1. Navigate to Users > Users.
  2. Click the Columns menu > System / No Category.
  3. Add Push Notifications Enabled to the selected columns, then click Save.

๐Ÿ’กHow this helps: The ability to view and report on Push Notification Enabled will allow admins to gain a clear picture of the number of users currently utilising the Rosterfy Mobile App.

 


Inherit Forms to Sub-accounts

Inline with inheritance throughout Rosterfy, we are excited to announce, forms are now inherited to sub-accounts. This feature streamlines form management and ensures consistent form configuration across multiple accounts, saving time and reducing administrative effort.

Key Features:

  • Automatic Synchronisation: Any changes made to an inheritable form in the parent account, will be automatically applied to all sub-accounts, such as form fields, settings, styling, visibility rules, and custom CSS.
  • Non-editable Forms in Sub-accounts: Inherited forms in sub-accounts cannot be edited directly. However, sub=account admins have the option to copy the inherited form, which will then become an independent version that can be customised as needed.
  • Inherited Configuration:
    • Branding: The inherited form will adopt the branding of the child account.
    • Visibility, Rules, and CSS: All visibility rules, custom field settings, and CSS defines in the parent account will be inherited by the child account, ensuring consistent form behaviour and design.
    • Form Content and Settings: All custom field settings, including field types, validation rules, default values, and form content, will be automatically inherited by sub-accounts.

๐Ÿ’กHow this helps: This enhancement will provide greater flexibility and efficiency for organisations managing multiple accounts.

 


Inherit Checkpoints to Sub-accounts

To further enhance our sub-account functionality, we have introduced the ability to inherit checkpoints to sub-accounts. 

With this feature enabled, admins can designate both new and existing checkpoints as inheritable, allowing these checkpoints to be visible in all sub-accounts under the parent account. 

There are a number of important things to note about inheriting checkpoints to sub-accounts:

  • Automatic Synchronisation: Any changes made to an inheritable checkpoint in the parent account, will be automatically applied to all sub-accounts. All settings applied to the checkpoint will be applied to the sub-accounts.
  • Management & Control: Each checkpoint can only be inherited by a sub-account once. If an inheritance is mistakenly applied, admins have the option to remove the inherited checkpoint. In such cases, any users associated with the inherited checkpoint will be transitioned back to the default account checkpoint.
  •  Visibility: Inherited checkpoints will be displayed in a greyed-out format on the checkpoint list of sub-accounts. Additionally, the Account Name column will indicate to admins the source account from which the checkpoint has been inherited, facilitating any necessary modifications.
  • Checkpoint Types: Checkpoint types are not inheritable, instead they are copied to sub-accounts. Admins can still update these checkpoint types and add additional checkpoints to the checkpoint type. To achieve this, admins can click the Add button in each checkpoint type, and add either newly created checkpoints or inherited checkpoints.

 

๐Ÿ’กHow this helps: This new feature is designed to alleviate the administrative workload associated with managing multiple sub-accounts, facilitating a more efficient configuration process for sites.

 


Automatic Rostering via Excel/CSV Import

Admins can now import an Excel or CSV file to automatically roster users into available shifts, enhancing efficiency for those with restricted access to user groups and role offers.

Follow these simple steps, to utilise this feature;

  1. Navigate to Events > Events.
  2. Locate the relevant event and select View Shifts.
  3. Locate the shift and click Actions > Automatic Rostering.
  4. Select Import in the From field and follow the remaining steps from Automatic Rostering.

The file will be validated for entries and ensures only users visible to the admin are rostered.

๐Ÿ’กHow this helps: This enhancement streamlines user rostering, making it more accessible for admins with limited permissions while maintaining existing functionality.

 


Enhanced Invite User Dialog with Custom Field Support

We are excited to announce improvements to the Invite User dialog, enabling administrators to customise the invitation process by incorporating user-specific custom fields.

Now, admins can easily configure which custom fields will be displayed in the Invite User form through the Organization Settings. This feature supports most user custom fields, with the exception of encrypted fields, terms, passwords, signature fields, documents, files, and images.

To update the fields included when inviting a user, navigate to Settings > Organization Settings > Users tab.

 

๐Ÿ’กHow this helps: This update ensures data completeness at the time of user onboarding, reducing the need for manual updates or data imports later.

 


Minor Enhancements / Fixes โ˜‘๏ธ

A number of minor enhancements / fixes have also been made to the platform and are outlined briefly below.

Highlight replacement items in bundle listing

We have introduced a visual enhancement to improve the clarity of discrepancies in bundle listings. Any replacement items within the Actuals column will be highlighted in red for easy identification.

A tooltip has been added to provide further context on the discrepancy when it is hovered over. This update enhances visibility and helps users quickly recognise and understand variations in actual values.

Display actual item values in brackets in bundle listing

To improve clarity in the bundle listing, the Actuals column will now display item values in brackets, even when there are no discrepancies. This ensures consistency in formatting and provides users with a clearer view of actual item quantities at all times.

Improved accessible labels for side navigation

To enhance accessibility, we have updated the accessible names of the side navigation to match their visible text labels. These improvements help speech interface users accurately identify and interact with controls.

Certificate updates in the portal reward section

Building on the previous release update, Event and Shift certificates are now included in the My Certificates section under Rewards, alongside Training and Role Offer certificates. Users can now access and download all assigned certificates in one place while maintaining entity-specific views.
