Product Updates - (SP087) - 11 February 2025

This article provides an overview of the features/updates the product development team have delivered in the 11th February 2025 release (Sprint SPO87).

 


What’s New πŸš€

Our dedicated team has been working tirelessly to enhance the Rosterfy platform, focusing on user feedback and evolving industry needs. We are excited to introduce a variety of new features designed to improve functionality, streamline processes, and enrich the overall user experience. 

 


Automatically Create an Invitation when Splitting Shifts

The ability to split a shift was introduced in the last product update, building on this functionality, admins will now be able to create a new invitation for the shift, based on an existing invitation template.

When you choose to split a shift, a pop-up will now prompt you with the option to Create invitation for new Shift?. If you select this option, an additional field will appear, enabling you to choose the desired Invitation Template.

Upon selecting the option to split a shift, the system will now automatically:

  • Generate a new invitation for the newly created shift, incorporating any applicable merge tags.
  • Link the invitation directly to the new shift.
  • If a user group has been specified, the invitation will also be tied to that group.
    New users who accept the invitation will automatically be added to that group.

Note: The group you choose while splitting the shift will take precedence over any group specified in the invitation template.

  • Upon creating the invitation, a unique link will be generated for the admin to share with the group leader. When individuals use this link to complete the form, they will be automatically signed up for the shift and added to the designated user group.

πŸ’‘How this helps: This feature streamlines the process by allowing admins to create shifts and send invitations in one seamless action, eliminating the need for separate tasks.

 


Limit the Split Shift to a Specific User Group

Admins can now enhance their shift management by specifying a particular user group to which the new split shift will be limited to. 

This builds on the previously introduced split shift functionality.

Additionally, there is now an option for the shift leader to automatically become the group leader for the newly created shift.

πŸ’‘How this helps: This will enable an admin to limit the visibility of the new shift to an existing user group.

 


Merge Tags now available in Invitation Template Content

Merge tags have been enabled for the invitation template's content field. 

Invitation Templates can now have Mail Merge tags in fields including, the invitation name and the invitation landing page content. 

Event, Shift, and User Group merge tags can now be incorporated into Invitation Templates, enhancing their customisation and relevance.

 

πŸ’‘How this helps: The introduction of Merge Tags in Invitation Templates provides the flexibility to personalise both the name and the content of the templates.

 


Define Naming Convention for Profile Picture downloads

A new Advanced Organization Setting has been introduced, enabling you to customise the filename format for profile pictures.

This enhancement allows you to specify how filenames appear in any reports that include media, ensuring that profile picture files adhere to your desired naming conventions.

Additionally, you can incorporate Mail Merge tags into the filename formatting for further personalisation.

Note: We recommend using Mail Merge tag formatting for the file name that will not result in duplication for any users. An example would be using *|user_id|* as each user has a unique User ID.

πŸ’‘How this helps: This setting allows you to define the desired naming convention for downloaded profile pictures, facilitating a smoother integration of these images anywhere else you require them, such as accreditations.

 


Minor Enhancements / Fixes β˜‘οΈ

A number of minor enhancements / fixes have also been made to the platform and are outlined briefly below.

Default Branding Updated

The default branding colours for the volunteer portal have been updated to reflect the updated Rosterfy brand guidelines.

This will not have any impact if you have modified the branding colours to suit your own branding.
