Actions Added to the User List for Role Offer Waitlist
Additional actions are now available from the Role Offer Waitlist, including:
- Bulk updating Users.
- Communicating with Users.
- Adding Users to Groups, Training or Shifts.
💡How this helps: The addition of these Actions will save administrators precious time with the ability to perform more actions in bulk for their waitlist users.
Update to Lite Admin Role Permissions - Forms
Lite Admin roles now have the capability to be granted Read access to Forms within Rosterfy.
This enhancement also allows for the implementation of additional horizontal permissions, enabling the role to be further restricted to specific forms or types of forms as needed.
💡How this helps: This allows for a lite admin role more suited to your requirements regarding Forms access.
Additional Field Visibility Rules on Forms
Field visibility on forms can now be controlled by multiple conditions instead of being restricted to just one.
This enhancement allows for more complex visibility rules, ensuring that fields will only appear when all specified conditions are satisfied.
💡How this helps: Previously, the visibility rule on fields within forms, was limited to one condition, with this update, you now have the ability to control the visibility based on your exact requirements, rather than just one.
Old Status Change Automations have been Deprecated
Previously, Rosterfy offered two versions of Status Change automations for Shift and Roles, for example:
- Event Shift - Confirm
- Event Shift - Status Change = Confirmed
The multiple automation options was found to be causing downstream issues and some confusion for administrators.
As such, we have complete a migration of the old automation tasks to the new.
The migration takes any of the old Shift Statuses and converts them to a new task by adding the necessary rules to ensure it still targets the correct statuses (e.g. Applied, Rejected etc.)

💡How this helps: Removing the old Status Change Automation Task will assist to remove the downstream confusion caused by the two automation tasks.
Inherit Admins to Sub-accounts
Administrator roles can now be designated as inheritable.
This means that any roles marked as inheritable will be accessible within sub-accounts, allowing administrators to assign these roles to users in those sub-accounts.
When creating or updating a permission role, within the Advanced options, a checkbox Is Inheritable will now appear for selection.
When in a sub-account, the role that is being inherited will appear in:
- User Profile > Access Tab
- Invite Admin > Role selection
Administrators with an inherited role will be able to access the permissions assigned to that role (including any horizontal permissions).
If a module or permission isn’t enabled in the sub-account, even the parent admin won’t get that permission in the sub-account. For example, if the headcount module is disabled in a level 1 account, level 0 admins also won’t see the headcount module in that specific account.
💡How this helps: The ability to inherit admin roles will remove the need to create duplicated roles within sub-accounts, saving admins precious time.
Inherit Role Offer Attributes to Sub-accounts
The following headcount fields are able to be inherited from a parent account to sub-accounts.
- Functional area
- Functional type
- Venue
- Job title
- User Type
- Location type
When creating a Role Offer, the fields that have been inherited from the parent account will be available for selection.
The attributes will be clearly separated by account in the list.
💡How this helps: The ability to inherit Role Offer Statuses will remove the need to create duplicated Role Offer Statuses within sub-accounts, saving admins precious time.
Automated Communications for Zoom Integration
The Zoom integration has been updated to include two new settings:
- Email Template to Send to Host - This setting allows administrators to select an email template that will automatically be used to notify the host whenever a meeting is created or the host's information is updated.
- Email Template to send to Attendees - This setting allows you to select an email template that will automatically be used to notify the shift users whenever they join the shift with a Zoom meeting or a change has been made to the meeting.
The following merge tags have also been added under the shift context:
- Zoom Host Info - displays the Zoom meeting host’s name and email address.
- Zoom Dial in Numbers - provides a list of phone numbers the volunteer can use to join the meeting.
Minor Enhancements / Fixes ☑️
A number of minor enhancements / fixes have also been made to the Rosterfy Mobile App and are outlined briefly below.
Account Setting to Enable a Top Scroll Bar and Page Controls on Listings
When enabled, a top vertical scroll will appear across tables.
Update to Match Custom Role Offer Status Colours in Portal and Admin Console
When a custom Role Offer Status is created, the colours will now match.
Updated the Button Label from Defer Payment to Pay by Invoice when the Option, Allow users to defer payment for shifts, is enabled
When an Admin deletes an option from a Select One field, a warning message will appear, giving the admin an option to remove the values from any records that has selected this option
The Is Ongoing column is now available in All Events Report
Waivers can now be added to Registration Forms
Users must agree to the waiver before they are able to create an account.
