Events Settings

The Events settings tab is a crucial component of Rosterfy, designed to establish parameters for user work hours and rest periods as well as the forms used for the volunteer stages.

 


Events Settings

Within the Events settings tab, you can configure several important rules that govern how shifts are scheduled and managed.

By configuring these settings effectively, you can create a well-structured scheduling framework that balances operational needs with user welfare, ultimately enhancing both productivity and volunteer satisfaction.

Most settings will initially be configured with our recommended defaults. To modify any of these defaults, simply uncheck the Use Default toggle.

 

Note: Some of these settings may not be available to you based on the license you have or the permissions you have in the Rosterfy platform. Please contact Rosterfy if you require additional access.

 

To customise the Events settings, navigate to Settings > Organization Settings, then select the Events settings tab.

 

 


Advanced Scheduling

Advanced Scheduling enables you to establish minimum criteria that help manage country-specific labor regulations, making it easier to identify potential compliance issues within scheduling. 

 

Note: Advanced Scheduling will need to be set to Yes, to configure the below setting options.

 


Maximum Amount of Hours Users can Work

This feature enables you to specify the maximum number of hours that a user is permitted to work in a single day or over the course of a week.

To impose a limit on the total hours worked by users, simply click +Add. By default, this setting allows for unlimited working hours.

Note: The week calculation is made using the first day of week defined in the General Settings.

 


Gap Between Shifts in Minutes

This setting allows you to set the minimum time required between shifts, for when users are self-scheduling on the Portal. A time of 0 will allow overlapping shifts.

Note: This setting does not affect scheduling users from the Admin Console.

 


Minimum Shift Length

This setting establishes a minimum duration for shifts, ensuring that no shifts can be scheduled for a time shorter than this length. By default there is no minimum to the length of a shift.

 


Maximum Standard Shift Length

Similar to the Minimum Shift Length, this setting establishes a maximum duration for shifts, ensuring that no shifts can be scheduled for a time greater than this length. By default there is no maximum to the length a shift.

 


Default Shift User Status

This is the status given to users if they have signed up to the shift from the Portal. By default, it is set to Applied

Note: This status may count towards the demand for the shift, altering how full the shift is. A status of Pending or Confirmed, will count towards the demand, whereas, Applied does not.

 


Default Shift Confirmed User Status

This status is given to users when they accept a shift, either on the portal or via email. 

 


 Default Shift Rejected User Status

Similar to the Default Shift Confirmed User Status, this is the status given to users when they decline a shift, either on the portal or via email.

 


Users can Withdraw from Shifts?

This setting allows you to control whether to allow your users to withdraw from shifts after they have been scheduled.

 


How Many Hours Before Shift Start, Users cannot Withdraw?

This setting allows you to control the minimum withdrawal timeframe for Users to ensure they do not withdraw close to the shift time.

 


How Many Days Before Shift Start can Users Confirm?

This feature enables you to set a specific timeframe within which Users are allowed to confirm their shifts, ensuring that confirmations can only occur a designated number of days before the scheduled shift.

 


Default Shift Checked In User Status

This status is assigned to Users as soon as they complete their check-in for a shift.

 


Default Forms

You have the ability to designate default forms that Users must complete during various stages of their Shift experience. These forms include:

  • Shift Application
  • Shift Check-in
  • Shift Attendance
  • Shift Check-out
  • Post Shift Feedback
