For over 40 years, Variety – the Children’s Charity has provided support to children living with illness, special needs or disadvantage to ensure that they reach their full potential, regardless of ability or background. Without government funding and relying purely on the generosity of the community, Variety has been able to leave a lasting impact on the lives of hundreds of thousands of Australian families who need assistance with funding mobility equipment, educational aids, programs and other services.
Previously, Variety have managed their volunteer applications and rosters through a combination of individual email threads and phone calls. Alicia Pentreath, Variety Victoria PR and Marketing Manager, has been leading volunteer coordination for three and a half years now and decided the time-consuming manual processes had to change.
“We’re looking to launch our registration form in the next two weeks and the idea of having one central location to manage all of our volunteers, that’s something we’re really excited about.”
The biggest challenge Alicia faced in the past with volunteer management, was keeping track of numerous email communications from hundreds of volunteers. Rosterfy’s communication tools are designed to significantly reduce the stress of managing and rostering volunteers, as Alicia has already experienced. Variety Victoria are focusing on two big volunteer driven campaigns in the coming months; ‘Bikes for Kids’ and their annual ‘Variety Children’s Christmas Party’.
“We will have 100 volunteers at Hisense Arena on 11 October, building 200 bikes for children who may never have received a bike before now. Instead of waiting on individual communications, volunteers can now access a customised registration form and apply for upcoming events within the volunteer portal.”
Later in the year, Variety Victoria will recruit another 500 volunteers for the Children’s Christmas Party at the Melbourne Exhibition Centre, and utilise the Rosterfy Check In feature for the first time. This will be a game changer for Variety volunteers. Check in mode will replace excel spreadsheets and the sometimes 20-minute-long check in queues. The Children’s Christmas Party will help 5,000 children and their carers, celebrate the joy and magic of Christmas.
